How do you write a budget when you have never managed one?

Our coral restoration work has been volunteer-run for two years. A funder has asked for a budget and I do not know what level of detail they want. Do they want every item, or categories?

Categories, with a note under each. Personnel, equipment, travel, and a small line for administration. Do not list every snorkel. Do say how you got to the number.

Adding to this: include your own time even though it is currently free. Funders want to see the real cost. A budget that pretends labour is free tells them the project stops the day you get a job.

And put in a contingency of about 10 percent. Every project I have run has had something break.
